SIS is the primary database of student records, going back to 1988. Through SIS, advisors can view all of students' UA and transfer courses and grades, and a variety of other enrollment and demographic information. SIS also allows management for course enrollment for those who have access to this feature.
Basic SIS access, which allows viewing of student academic information and change of major rights, can be obtained through the New Account Request Form (PDF). Once the form is processed, the new user will be contacted and invited to attend a SIS Navigation Training, which will complete the access process. Advisors must also complete FERPA training prior to attending the SIS training.
Depending on specific job duties, some advisors will need access to special areas of SIS that require individual access requests and trainings. Two of these more common access needs are CHG/REG (ability to add students to courses) and Screen 131 (ability to manipulate enrollment in departmental courses).
Advisors with access to the REG and CHG screens have the ability to register students for courses offered out of their home department. In order to gain access to this portion of SIS, an advisor needs to obtain permission from his/her department head and to attend a training session. Access information and a schedule for upcoming trainings can be found through the Office of the Registrar.
Screen 131 of the SIS program allows users to change the enrollment numbers in departmental courses. SIS stores a great deal of student information, some of which is not available to the average advisor. However, if you can demonstrate a need for access to any other features, such as student financial records or ability to block student registration, individual requests must be made the Office of the Registrar. SIS access will only be provided if a clear need is demonstrated.
